ARC is hiring an Executive Assistant to join the team. This dynamic role requires adaptability to the evolving needs of the executives and the organization. In this role, you will support all executives on the Executive Team (except the CEO), balance multiple responsibilities and contribute to the overall success of the executive team. You will play a pivotal role in ensuring the seamless operation by providing high-level administrative support and coordination and manage complex calendars, coordinating meetings, handling confidential information, and serving as a central point of contact between executives and internal/external stakeholders. You will be asked to use exceptional organizational and communication skills, prioritizing tasks, and demonstrate a proactive approach to problem-solving. In this role you will be expected to work independently, exercise discretion, and maintain a high level of professionalism. Overall, you will work to facilitate the effectiveness and productivity of the executive team.

What You'll Get to Do:
  • Coordinate and manage complex calendars for multiple executives, schedule appointments, meetings, and travel arrangements, and proactively handle potential scheduling conflicts.
  • Serve as the primary point of contact for internal and external communication and respond on behalf of the executives when appropriate.
  • Arrange and coordinate meetings, including preparing agendas, gathering necessary materials, and ensuring meeting logistics are well-organized.
  • Plan and coordinate domestic and international travel, including booking flights, accommodations, transportation, and preparing travel itineraries.
  • Track and reconcile expenses, ensuring accurate and timely submission of expense reports.
  • Manage and organize documents, files, and information, ensuring that executives have access to necessary materials and are well-prepared for meetings and events.
  • Handle sensitive and confidential information with discretion and maintain a high level of confidentiality in all interactions.
  • Prioritize tasks and responsibilities effectively, ensuring that urgent matters are addressed promptly and that long-term projects are managed efficiently.
  • Provide support on special projects, research, and other initiatives as assigned by the executives.
  • Cultivate and maintain positive relationships with internal and external stakeholders, including colleagues, clients, and partners.

You'll Bring These Qualifications:
  • Associate degree preferred; equivalent experience considered
  • 3+ years of experience in an Administrative Assistant role, supporting multiple executives.
